Put These in Your RFP

Eight questions that pay for themselves at signature.

A practitioner-written RFP checklist. Send these to every shortlisted vendor. The answers — and the refusals — will tell you who's negotiable and who isn't.

  1. 01

    Get per-user pricing AND per-application unit pricing, separately.

    Before accepting any bundle rate, ask the vendor for the standalone unit price of every module you'll touch. The bundle may be cheaper — but you can only know once you've seen the components. Reviewers consistently cite the bundle-vs-standalone trap.

  2. 02

    Cap the annual renewal uplift in the order form.

    ServiceNow's standard 5–10% uplift is the visible example, but the pattern is industry-wide. A 3% cap, or one pegged to CPI, materially changes total cost of ownership over a 5-year horizon. Always ask.

  3. 03

    Cap AI / consumption pricing for the first 24 months.

    If the vendor sells AI as a separate consumption layer (Now Assist, Optro AI Agent, Workiva AI), demand a hard usage cap with no overage charges in years 1 and 2. Vendors who refuse this are telling you something.

  4. 04

    Get implementation hours quoted as a fixed scope, not a time-and-materials estimate.

    T&M implementations are how 8–12-week estimates become year-long projects. Insist on a fixed-fee statement of work, with named deliverables and acceptance criteria, before signing.

  5. 05

    Disclose every recurring per-seat charge: training, sandbox, integration.

    Production seats are the headline price. Sandbox seats, training seats, integration users and API-key seats are usually billed separately. List them all in the RFP response.

  6. 06

    Demand the data-migration scope and price, not just an estimate.

    Migrating an audit universe, workpaper history and finding-action tracking is non-trivial. Vendors who can't price it cleanly aren't ready to deliver it cleanly.

  7. 07

    Ask about source-code escrow and exit terms before you sign.

    For on-premise procurement, source-code escrow is usually requested at the end — when it's least negotiable. Raise it in the RFP. For SaaS, ask about data-export format and retention at end of contract.

  8. 08

    Verify any 'AI-first' claim against the latest two release-note cycles.

    Several vendors market AI features that are harder to verify in granular release notes than in conference decks. Ask for the exact AI feature, the release date, and a customer reference using it in production.

Why don't most audit management software vendors publish pricing?

Two reasons. First, enterprise software pricing is genuinely variable — by user count, by module set, by deployment type and by AI consumption — so a single number would mislead. Second, opacity is a sales lever; a vendor that hides pricing controls the negotiation. Should we buy SaaS or on-premise?
